POSITION SUMMARY:
Assists the Chief of Surgery, Consultant General Surgeon, and President of the Operating Theatre with daily administrative tasks, including preparing and editing correspondence, reports, and presentations. Maintains organized filing systems, manages incoming calls and emails, oversees office supplies, and coordinates office maintenance and repairs. Handles sensitive information confidentially, manages patient inquiries, reviews documents for approval, and coordinates meetings and events. Checks Google reviews and complaints, arranges documents, and performs ad-hoc duties as needed.
DUTIES AND RESPONSIBILITIES:
- Assists the Chief of Surgery, Consultant General Surgeon and President of Operating Theatre in coordinating daily administrative tasks.
- Helps in preparing and editing correspondence, reports, and presentations.
- Maintains organized filing systems and document management.
- Screens and handles incoming calls and emails, ensuring timely responses.
- Oversees office supplies and inventory, ensuring sufficient stock levels.
- Coordinates office maintenance and repairs, liaising with relevant service providers.
- Maintains a clean and organized office space conducive to productivity.
- Handles sensitive information with the utmost discretion and confidentiality.
- Assists in managing patient inquiries and directing them to the appropriate departments.
- Reviews documents for approval before the Chief of Surgery, Consultant General Surgeon and President of Operating Theatre signing.
- Coordinates Surgery General - Medical Affairs’ meetings/events as required including notification to members, booking of room, distribution of agenda, taking and transcribing minutes, ordering of refreshments as required etc.
- Checks and sends Google review updates and complaints related to Surgery/Operating Theatre to the Chief of Surgery, Consultant General Surgeon and President of Operating Theatre regularly.
- Arranges and segregates documents for the Chief of Surgery, Consultant General Surgeon and President of Operating Theatre.
- Performs ad-hoc duties from time to time.
QUALIFICATIONS & SKILLS:
- High School Graduate
- Bachelor's Degree in any field preferred
PROFESSIONAL EXPERIENCE:
- Minimum of three (3) years of experience as a Personal Assistant
- Knowledge of creating systemized processes
- Skills in Microsoft Office (intermediate to advanced)
- Skills in organizational and management
- Ability to speak and write fluently in the English language
- Ability to anticipate needs and preferences
