will be based on the finalised responsibilities

  • Coordinates departmental committee meetings as required including notification to members, booking of room, distribution of agenda, taking and transcribing minutes, ordering of refreshments as required etc.
  • Coordinates and oversees the Credential and Privileging process for all full-time physicians and
    community physicians.
  • Takes minutes of the meeting.
  • Monitors and tracks the privileges expiry dates of full-time, community and part-time physicians and assists in the re-privileging process.
  • Monitors and follows up compliance with mandatory education and Life Support Training Courses for full-time and community physicians.
  • Monitors and follows up on Malpractice Insurance expiry dates for community doctors and assists in the renewal process if required.
  • Updates the Chief Financial Officer's (CFO) office regularly to ensure continuity of their insurance coverage.
  • Assists physicians on the internal Continuing Medical Education (CME) or/and educational activities such as medical lectures etc. including obtaining CME credit points from Dubai Health Authority (DHA) for lectures when required.
  • Applies, renews, and monitors the part-time license of the Community physicians.
  • Collects, records, and monitors CME/ Continuing Professional Development (CPD) requirements of full-time physicians and ensures timely submission for license renewal.
  • Processes physician's new privileges requests and updates the relevant departments with the addition/deletion privileges.
  • Supports the Chief Medical Officer (CMO) office for Joint Commission International Accreditation (JCIA) and other accreditation-related tasks.
  • Files the documents such as (CME) certificates, logbooks, Medical Malpractice Insurance (MMI) certificates, licenses, reappointment, etc.
  • Maintains confidentiality by ensuring the protection and integrity of sensitive information.
  • Recognizes and comprehends the department's goals and objectives.
  • Takes initiative and offers suggestions for enhancing services.
  • Performs ad hoc duties as required.
  • Diploma in Medical Secretarial studies or related field

PROFESSIONAL EXPERIENCE:

  • Minimum of three (3) years of experience as a Medical Secretary in a private hospital
  • Skills in Microsoft Office (intermediate to advanced)
  • Skills in shorthand and audio typing
  • Ability to type with a minimum of 50-60 wpm speed
  • Ability to speak and write fluently in the English language 
  • Ability to speak in different languages preferred
