Job OverviewCAI is looking for an experienced Executive Administrator to provide high-level administrative support to our CEO and ensure the smooth operation of our executive office. The executive administrator must be enthusiastic, creative, personable, enjoy working in a results-oriented environment, possess superior interpersonal skills, and be able to communicate at all levels of the organization. The ideal candidate will have the ability to exercise good judgement in a variety of situations and utilize strong communication, administrative, and organizational skills.
Key Responsibilities: · Serves as the executive representative of the CEO and creates and maintains a professional environment surrounding the office of the CEO which reflects and enhances the CEOs cultural connections internally and externally.· Provides executive administrative and business support to CEO, as well as support to other executive management team upon request.· Effectively manages and controls the CEO’s calendar, including planning and scheduling meetings, teleconferences, and travel. Serves as point of contact for CEO to organize calls and meetings required by employees and with external contacts.· Coordinates complex and rapidly changing domestic and international travel itineraries for CEO.· Acts as a liaison and gatekeeper ensuring that all communication is handled effectively exercising the appropriate discretion and confidentiality.o Serve as the primary point of contact for internal and external communications on behalf of the CEO.o Drafts and proofreads emails, reports, and other documents with accuracy and attention to detail.o Screens email inbox for urgent items requiring response or decision and coordinates with CEO.· Responds for the CEO in minor matters and decisions needed for day-to-day business operations.· Coordinates executive group meetings and board of directors’ meetings including those which might occur outside of Indianapolis.· Maintains and organizes confidential records for CEO and board of directors.· Coordinates other events and special meetings including participation in organizing annual retreats.· Processes expense reports for CEO.· Administers special projects and various programs on behalf of executive management.· Ensures all sensitive matters are confidentially maintained using considerable independent judgment.· Performs other duties as assigned. Requirements: · Bachelor’s Degree required.· Minimum of 5 years of Executive Assistant experience.· Excellent verbal and written communication skills.· Excellent organizational skills and attention to detail.· Excellent time management skills with a proven ability to meet deadlines.· Ability to function well in a high-paced and at times stressful environment. Available outside of normal working hours.· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.· Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software tools.· Strong sense of initiative and able to multitask, properly prioritize and meet deadlines, and anticipate needs of executives.· Ability to effectively manage and thrive in ambiguous situations.· Experience with international people and organizations is a plus. · Prior experience working with Board of Directors preferred. · Able to travel occasionally for Board, Executive Officer, and other offsite meetings.
